Job overview

We are looking for an enthusiastic and motivated person to join our admin and clerical team within the Women's Outpatient department

You will be able to:

• Work as an effective team member
• To support staff in the delivery of patient focused care
• Demonstrate effective communication skills
• Be committed to personal development

Main duties of the job

  • Communicate and liaise with the clinic team, other departments and other Trusts re patient episodes
  • To make and receive telephone calls/fax messages relevant to patient care, relaying information to/from the appropriate member of staff to/from the caller
  • Arrange for patient medical records, diagnostic reports and any x-rays to be available upon patient arrival
  • file all documentation and diagnostic reports accurately
  • To arrange out-patient appointments and transport bookings as required
  • To input data to computerised systems, as required
  • Organise, sort, distribute and redirect mail, as appropriate
  • Arrange documentation duplication, type notices, laminate and distribute, as required
  • On-line ordering of stock items
  • Maintain adequate stationery stock levels
  • Provide clerical support to the manager as required
  • Educating new ward staff members of multi-disciplinary team, work placement students in all aspects of ward administration

 

Working for our organisation

We operate from three main hospitals - Furness General Hospital (FGH) in Barrow, the Royal Lancaster Infirmary (RLI), and Westmorland General Hospital (WGH) in Kendal, as well as a number of community health care premises including Millom Hospital and GP Practice, Queen Victoria Hospital in Morecambe, and Ulverston Community Health Centre.

FGH and the RLI have a range of General Hospital services, with full Emergency Departments, Critical/Coronary Care units and various Consultant-led services.

WGH provides a range of General Hospital services, together with an Urgent Treatment Centre, that can help with a range of non-life threatening conditions such as broken bones and minor illnesses.

All three main hospitals provide a range of planned care including outpatients, diagnostics, therapies, day case and inpatient surgery. In addition, a range of local outreach services and diagnostics are provided from community facilities across Morecambe Bay.

Experience

Essential criteria
  • Expertise acquired through experience of Patient Record Systems and / or other administration systems
  • Experience of dealing with the public
  • Experience of working as an individual / part of a team without supervision
  • Ability to communicate effectively with teams / individuals within and outside the organisation
Desirable criteria
  • IT skills at good level. Word processing, databases, email, internet searching
  • Good communication skills with sensitivity to the needs of patients, particularly where there maybe barriers to understanding e.g. learning difficulties, deafness and language barriers
  • Demonstrate tact and diplomacy skills when dealing with sensitive issues e.g. bereaved relatives and abusive patients
  • Ability to think quickly, assess situations and make decisions/prioritise workload upon that information
  • Willingness to learn new skills / attend training etc
  • Awareness of the NHS structure and current issues

Education

Essential criteria
  • Good standard of General Education
  • Basic numeracy and literacy
  • Keyboard skills
Desirable criteria
  • RSA Typing Level 2/3 or equivalent
  • NVQ level 2 in office administration or equivalent experience
